What each role can do
Admin
Full control: upload, edit, publish and delete any version of any document.
Owner
Manages the documents assigned to them: upload, edit, publish and delete their own.
Editor
Uploads new versions and edits metadata; may delete own uploads for 15 working days.
Reader
Read-only: views and downloads published versions.
Allowed actions per view mode
Assign or unassign an action for a view mode. A person still needs the role right as well — view modes can only narrow, never widen.
| View mode | Upload version | Edit metadata | Change approval | Publish version | Delete version |
|---|---|---|---|---|---|
Admin view Every draft, version in review and published version. | |||||
Owner view Drafts for documents you own, plus published versions. | |||||
Editor view Your own unpublished uploads, plus published versions. | |||||
Reader view Only published versions — what the department sees. |
